About HR Administrator (Permanent)

We are recruiting for a dynamic HR Administrator who will form part of of our People Services function working to provide an efficient and professional service to employees across the UK and EMEA (Europe, Middle East and Africa).

You’ll be working within the HR Administration Team providing advice and guidance to employees and managers and completing transactional HR activities and electronic filing using our HR systems.

The successful candidate will be reporting to the UK-based HR Operations Manager. This post is based in Goodwood.

Principal Accountabilities

New Joiner Administration – Liaise with new joiners (internal and external), addressing any questions and maintaining a strong level of customer service while ensuring the relevant checks are conducted. File all documentation correctly according to standard processes and procedures. 

Contractor Administration – Process all new contractors in the region, collecting relevant paperwork and ensuring all necessary checks have been conducted as per standard processes and procedures. Manage the contractor inbox, responding to any queries and advising line managers accordingly. Manage contractor extension requests and completion of all relevant paperwork. 

Employee information Changes: Using our HR Information Systems (HRIS), process changes to employee records to meet key deadlines for payrolls and maintain the accuracy of employee data.

Provide HR colleagues, managers and employees with clear and accurate guidance to ensure HRIS transactions and workflows are initiated accurately and promptly. Maintain logs to ensure that all workflows are processed and approved to timescales, following up with approvers where necessary. 

Documentation and Filing: Prepare required HR documentation accurately, using approved templates. Ensure all documentation is filed correctly and within SLAs, communicating the availability of documentation following standard processes. Complete spot checks and audits of filed documentation. 

Benefits Administration: Manage the administration of employee benefits across the region. Signpost and respond to employee queries about benefits.

Process benefit changes on HRIS, produce and file any relevant paperwork, and communicate employee benefit changes to HR colleagues/external suppliers where necessary. Employee benefits may include but are not limited to: medical insurance, car allowances/lease options, long service awards. 

People Hub, Communications and Query Management: Proactively maintain clear, accurate, and up-to-date HR information about the region on the People Hub. Respond to colleague queries, triaging and prioritizing them, and seeking to publish information on the People Hub where it applies to a number of colleagues.

Ensure all communications are clear, consistent and delivered in a timely manner. Escalate queries to the relevant person/department where necessary.

Policies, Processes and ProceduresDevelop an excellent understanding of OUP policies, processes and procedures, working in accordance with them, or flagging areas for review and improvement to ensure the best and most efficient service to colleagues.  

Information Security and Data Privacy: Ensure that all handling of employee data and information is managed in conjunction with OUP’s ISDP policies and applicable legislation. Maintain confidentiality and flag any risks to data security to the HR Operations Manager.   

Other duties: From time to time, you may be asked to complete additional duties to support the OUP mission and wider operational interests. 

Qualifications and Experience

  • Minimum NQF 6 Qualification or equivalent in Human Resources/Industrial/Organisational Psychology
  • Minimum of 1 -2 years experience in HR
  • Experience working in HR team

  • Experience of working with HR information systems
  • Full competence with Microsoft Office, specifically Outlook, Word and Excel
  • The ability to work with sensitive personal data and maintain confidentiality
  • The ability to follow processes and procedures, highlighting areas of improvement
