Job Purpose
To provide an effective office assistant function to the business through reliable support, office administration, reception and switchboard duties.
Key Responsibilities
- Answering/redirecting all incoming calls and taking messages (Cape Town & Gauteng office)
- Responsible for Boardroom meeting reservations and coordination
- Arrange for office refreshments and catering
- General office management assistance (incl stationary, office cleaning, office supplies and furniture)
- Responsible for onboarding of new employees (ie access cards, welcome pack)
- Arrange travel arrangements (incl flights, shuttles, accommodation, vehicle rental, etc)
- Assistance with teambuilding and social events
- Responsible for monthly office invoices, statements, and purchase reconciliation
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person
- Receiving, distributing, and processing all incoming and outgoing deliveries
- Ensuring the general running and maintenance of the office environment
- Ensuring all health and safety standards are maintained
Minimum Requirements
- Tertiary qualification (Secretarial related)
- 3-5 years’ working experience within the financial services industry would be advantageous
- Project Management qualification /skills would be advantageous
- Must have demonstrable experience of working in support of a senior individual and have an understanding of the need for confidentiality
- Sound administration and secretarial experience
- Must possess excellent English verbal and written communication skills
- MS Office software literacy (Outlook, Word, Excel, PowerPoint)
