Job Purpose

To provide an effective office assistant function to the business through reliable support, office administration, reception and switchboard duties.

Key Responsibilities

  • Answering/redirecting all incoming calls and taking messages (Cape Town & Gauteng office)
  • Responsible for Boardroom meeting reservations and coordination
  • Arrange for office refreshments and catering
  • General office management assistance (incl stationary, office cleaning, office supplies and furniture)

  • Responsible for onboarding of new employees (ie access cards, welcome pack)
  • Arrange travel arrangements (incl flights, shuttles, accommodation, vehicle rental, etc)
  • Assistance with teambuilding and social events
  • Responsible for monthly office invoices, statements, and purchase reconciliation
  • Greet and welcome guests as soon as they arrive at the office

  • Direct visitors to the appropriate person
  • Receiving, distributing, and processing all incoming and outgoing deliveries
  • Ensuring the general running and maintenance of the office environment
  • Ensuring all health and safety standards are maintained

Minimum Requirements

  • Tertiary qualification (Secretarial related)
  • 3-5 years’ working experience within the financial services industry would be advantageous
  • Project Management qualification /skills would be advantageous
  • Must have demonstrable experience of working in support of a senior individual and have an understanding of the need for confidentiality

  • Sound administration and secretarial experience
  • Must possess excellent English verbal and written communication skills
  • MS Office software literacy (Outlook, Word, Excel, PowerPoint)
