The company is currently seeking a proactive and detail-oriented Administrative Assistant to support the Marketing team.

Purpose of the Job

The Administrative Assistant plays a crucial role in ensuring the smooth operation of the Marketing department.

This position supports key marketing initiatives while managing various administrative tasks, making it essential for the team’s success.

Key Responsibilities

  • Administrative Support: Manage day-to-day tasks such as scheduling meetings, handling correspondence, and organizing files.
  • Project Coordination: Assist in organizing marketing campaigns and liaise with vendors and stakeholders.
  • Data Management: Maintain accurate databases and spreadsheets for easy access by the team.
  • Content Support: Help draft and distribute marketing materials including newsletters and social media posts.

  • Event Planning: Coordinate logistics for marketing events, trade shows, and webinars.
  • Budget Tracking: Monitor and process budget expenses in collaboration with Finance.
  • Research: Conduct market research to assist with marketing strategies.
  • Customer and Client Relations: Manage inquiries and provide information to clients and stakeholders.
  • Office System Maintenance: Ensure filing and data management systems are up-to-date.
  • Communication: Screen calls and redirect urgent matters appropriately.
  • Invoice Management: Track and manage payment processes for vendors.
  • Travel Coordination: Arrange travel arrangements and manage budgets for events.

Job Requirements

Education

  • Certificate or diploma in Marketing and/or Office Administration

Experience

  • Minimum of 2+ years of administrative experience in a similar environment.
  • Proficient in managing complex travel itineraries.
  • Experience working within teams and managing diary schedules effectively.
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); SAP experience is advantageous.
  • Excellent organizational and numerical skills.
  • Ability to maintain confidentiality and professionalism in various situations.
  • Strong interpersonal and communication skills (both verbal and written).
  • Capable of working independently, accurately, and efficiently under pressure.
  • High attention to detail, with the ability to multi-task effectively.
  • Self-driven and motivated with a positive work ethic.
