Job Overview

The Procurement Administrator plays a critical support role in managing and coordinating the Request for Proposals (RFP) process. Working closely with the Procurement Officer, Grants Team, and Project Leads, you will ensure compliance, maintain accurate documentation, and support efficient procurement workflows.

This role is ideal for a detail-oriented professional with strong organisational skills and experience in procurement or administrative environments.

Requirements

  • Diploma or Bachelor’s degree in Administration, Procurement, Supply Chain, or a related field
  • Minimum of 3 years’ experience in procurement or administrative support
  • Experience in donor-funded or non-profit environments (advantageous)
  • Knowledge of Public Finance Management Act (PFMA) and African Development Bank (AfDB) procurement processes (advantageous)
  • Proficiency in digital procurement systems (e.g., SAP, Oracle)
  • Strong organisational and record-keeping skills
  • Excellent communication and coordination abilities
  • Ability to manage multiple tasks and meet deadlines
  • Strong writing, reporting, and problem-solving skills
  • High level of professionalism, integrity, and attention to detail

Key Responsibilities

RFP Administration & Coordination

  • Assist in preparing and formatting RFP documents
  • Coordinate internal reviews and approvals
  • Support branding and compliance with communication guidelines
  • Upload and manage RFPs on procurement systems

Applicant Communication & Support

  • Manage applicant queries and maintain communication records
  • Update FAQs and briefing session materials
  • Coordinate and schedule briefing sessions

Bid Evaluation Support

  • Provide administrative support to the Bid Evaluation Committee
  • Prepare scoring sheets and consolidate evaluation data
  • Maintain conflict-of-interest documentation

Documentation & Compliance

  • Maintain accurate procurement records in line with retention policies
  • Ensure proper archiving and audit readiness

Contracting & Monitoring Support

  • Assist in preparing agreements and documentation
  • Track reporting deadlines and send reminders
  • Support project close-out processes and reporting
