About the Role
CommsHub, a strategic communications philanthropic fund within the Meliore Foundation, is seeking an Executive Assistant to provide high-level operational and administrative support to the Executive Director and broader leadership team.
This role sits at the centre of a fast-moving, international climate-focused initiative designed to strengthen strategic communications capacity across the global climate movement and help build political will for climate action.
The successful candidate will play a key coordination role across teams in Europe and the United States, ensuring seamless execution of leadership priorities, communications, and operational workflows.
Key Responsibilities
Executive & Leadership Support
- Manage and maintain complex calendars across multiple time zones
- Coordinate meetings, agendas, supporting materials, and attendee logistics
- Oversee executive email inbox, prioritise communications, and draft responses
- Track follow-ups, actions, and deliverables from leadership meetings
Communication & Documentation
- Draft, format, and edit internal documents including reports and presentations
- Maintain clear documentation of actions, decisions, and project updates
- Support internal communication processes across leadership and teams
Travel & Operations Coordination
- Organise international travel arrangements for leadership team
- Coordinate in-person meetings, workshops, and team gatherings
- Process expenses, invoices, and support budget tracking
Project & Team Support
- Provide administrative and project support across working groups and initiatives
- Assist in planning and delivery of events and internal engagements
- Support operational consistency and process improvement across CommsHub
Stakeholder Coordination
- Maintain communication with steering committee members
- Ensure timely responses to stakeholder queries and requests
- Support coordination across Meliore Foundation operational structures
Required Skills & Experience
- Proven experience as an Executive Assistant or in a similar senior support role
- Experience managing complex schedules in a fast-paced, international environment
- Strong organisational, coordination, and time management skills
- Excellent written and verbal communication skills in English
- Ability to manage multiple priorities and work independently
- Strong attention to detail and discretion with confidential information
- Experience using tools such as Zoom, Slack, Asana, and Google Workspace
- Comfortable working across global time zones and remote teams
- Interest in climate, environment, or mission-driven work
