Role Overview
The Oceans Senior Assistant provides high-level administrative and operational support to the Science and Seascapes team. This role combines administrative coordination, financial support, and project assistance to ensure the smooth functioning of departmental activities.

You will engage daily with internal teams, external partners, donors, and government agencies—playing a key role in maintaining efficient communication and workflow across hybrid and remote environments.
Key Responsibilities
Administrative & Documentation Support
- Draft and review correspondence, reports, and complex documents
- Ensure accuracy and quality across all documentation
- Support preparation of proposals and contracts
Financial & Budget Support
- Assist with budget preparation by compiling data and background information
- Monitor expenses and flag discrepancies
- Process invoices, expense reports, and payment requests
- Support preparation and review of financial reports
Data Management & Recordkeeping
- Maintain logs, records, and databases using spreadsheets and software tools
- Validate and input data, resolving inconsistencies where necessary
Reporting & Analysis
- Prepare reports using collected data for internal teams, donors, and government stakeholders
- Create tables, charts, and basic statistical summaries
- Assist in drafting reports and presentation materials
Office & Operational Support
- Coordinate travel arrangements, meetings, and conferences
- Manage communications, mail distribution, and document production
- Provide administrative support including filing, scheduling, and coordination
- Support onboarding, training, and coordination of temporary or part-time staff
Skills and Experience
Essential Requirements
- High school diploma plus 5+ years’ experience in an administrative or secretarial role
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience handling budgets, expense reports, invoices, and financial documentation
- Excellent organizational, analytical, and writing skills
- Strong interpersonal and communication skills
- Ability to work independently, prioritize tasks, and meet deadlines
Desirable Skills
- Experience with database management systems
- Advanced PowerPoint and presentation preparation skills
- Experience coordinating complex travel and scheduling
