Role Overview
GEN Europe is seeking a highly organised and motivated Project Officer to support the coordination and administration of its expanding portfolio of European-funded projects.
Job Title: Project Officer
Organisation: Global Ecovillage Network of Europe
Location: Remote within Europe / Option to work from Navarra, Spain
Contract Type: 1-year time-limited freelance or part-time employment contract (renewable)
Salary: 20 EUR gross per hour
Start Date: 1 August 2026
Closing Date: 17 May 2026 – 23:59 CEST
The successful candidate will work closely with the Development Manager, General Coordinator, and wider project teams to help ensure projects remain organised, compliant, and effectively delivered.
This role is central to supporting project operations, maintaining communication across international partnerships, coordinating reporting processes, and ensuring efficient project administration across multiple concurrent initiatives.
The position is ideal for candidates interested in sustainability, regenerative development, ecological transition, participatory governance, and international NGO project coordination.
Key Responsibilities
Project Coordination and Administration
- Maintain up-to-date tracking systems for project deliverables, milestones, deadlines, and partner obligations
- Support communication with consortium partners, including drafting meeting invitations, follow-up emails, and document requests
- Coordinate project meetings, prepare agendas, record minutes, and track action points
- Organise and maintain project documentation systems including Google Drive, Nextcloud, and shared repositories
- Support preparation of technical and financial reports across Horizon Europe, Erasmus+, CERV, and Creative Europe projects
- Assist with timesheet collection, cost tracking, and budget monitoring alongside the Financial Manager
- Support participant management processes for training programmes, exchanges, open calls, and project activities
Portfolio-Wide Support
- Assist the Development Manager with project coordination and administrative support
- Contribute to proposal preparation, research activities, partner outreach, and project development support
- Help strengthen coordination and consistency across GEN Europe’s broader project portfolio
- Support onboarding processes and task handovers for project staff across different initiatives
Event and Activity Support
- Assist with logistics for workshops, webinars, consortium meetings, and training activities
- Coordinate participant communications, travel arrangements, and event administration
- Support project-related activities linked to the European Ecovillage Gathering
Essential Requirements
Applicants should demonstrate:
- At least 1 year of experience in project coordination or administration within EU-funded projects
- Familiarity with programmes such as Horizon Europe, Erasmus+, CERV, Creative Europe, or similar
- Strong organisational and multitasking skills
- Excellent written English and professional communication abilities
- Confidence working remotely within international and collaborative teams
- Proficiency in spreadsheets, text processing, presentation software, and project management tools
- Ability to work independently with strong attention to detail
Desirable Qualifications and Experience
The following will be considered an advantage:
- Experience supporting Horizon Europe project administration and reporting
- Understanding of EU grant agreement obligations and reporting requirements
- Familiarity with the ecovillage movement, regenerative development, or participatory governance initiatives
- Experience supporting EU proposal development
- Knowledge of financial monitoring and budget tracking in EU-funded projects
- Experience with sociocracy or non-hierarchical organisational structures
- Spanish or German language skills
