Position Overview
WWF is currently seeking an Administrative Assistant to support its Earth for Life (EFL) program. The Administrative Assistant provides comprehensive administrative support to ensure the effective operation of the Strategic Planning and Finance (SPF) team within the Earth for Life (EFL) program. The role involves managing administrative processes, financial coordination, travel arrangements, meeting logistics, onboarding activities, and file management functions.

Salary Range: USD $44,600 – $55,700 per year ($24.51 – $30.60 per hour)

Key Responsibilities
Communication and Administrative Support
- Respond to and coordinate meeting requests for supervisors and team members.
- Schedule appointments and maintain calendars.
- Answer and route emails appropriately.
- Welcome visitors and respond to inquiries regarding departmental procedures.
- Provide general administrative assistance to support team operations.
Office Management and Travel Coordination
- Manage schedules for supervisors and team staff.
- Arrange domestic and international travel as required.
- Perform a variety of routine office administration tasks.
- Support day-to-day office operations to ensure smooth workflow.
Financial Administration
- Review and process credit card transactions, invoices, and employee expense claims.
- Prepare check and wire payment requests.
- Input and verify financial coding within WWF financial systems.
- Coordinate payment tracking with Program Operations.
- Process expense reports through Workday and Smart Simple systems.
- Compile and review financial reports.
- Monitor expenses against budget allocations and investigate significant variances when necessary.
Meetings, Conferences, and Events
- Coordinate meetings, workshops, conferences, and special events.
- Arrange meeting venues, audiovisual equipment, catering, and materials.
- Manage attendee registration and logistics.
- Support staff participation in external events and conferences.
File and Knowledge Management
- Maintain the SPF team’s online document repository.
- Ensure project files are organized, accurate, and easily accessible.
- Collaborate with the EFL Knowledge Management team to align file management practices with organizational standards.
Staff Onboarding Support
- Assist with onboarding activities for new SPF team members.
- Develop onboarding schedules and coordinate orientation activities.
- Liaise with Facilities and Network Services teams regarding workspace and equipment requirements.
- Schedule introductory meetings and provide guidance to new employees during their initial weeks.
Additional Responsibilities
- Perform other related duties as assigned.
Required Qualifications
Education
- High school diploma or equivalent qualification required.
Experience
- Minimum of 1–4 years of demonstrated experience in an administrative assistant, secretarial, or similar administrative support role.
- Experience processing expense reports and financial documentation.
- Experience coordinating travel arrangements and schedules.
Technical Skills
- Proficiency in Microsoft Office Suite, including:
- Outlook
- Word
- Excel
- PowerPoint
- Experience using financial and administrative systems is advantageous.
Communication and Organizational Skills
- Strong verbal communication skills.
- Effective written communication and correspondence preparation skills.
- Excellent proofreading and document editing abilities.
- Strong organizational and multitasking capabilities.
- Ability to prioritize assignments and meet deadlines with minimal supervision.
- Professional interpersonal skills, including courtesy, diplomacy, and tact when interacting with colleagues, stakeholders, and visitors.
