WWF is seeking an experienced and highly organized Facility Operations Manager to oversee the efficient operation, maintenance, and strategic management of its Washington, D.C. headquarters.
Position Overview
The Facility Operations Manager is responsible for overseeing all aspects of facilities operations, including property management, workspace planning, office services, vendor management, facilities procurement, construction support, parking operations, budget management, and sustainability initiatives.
This role serves as a key liaison between WWF leadership, property management partners, vendors, and employees to ensure an exceptional workplace experience while maintaining operational efficiency and supporting WWF’s sustainability goals.
Approximately one-third of the role focuses on facilities management activities, while the remaining responsibilities involve administrative and operational leadership.
Key Responsibilities
Facilities and Property Management
- Oversee the day-to-day operations of WWF headquarters facilities to ensure efficient building performance and occupant satisfaction.
- Manage the Property Management Agreement (PMA) and serve as the primary point of contact with WWF’s property management provider.
- Monitor building performance and recommend improvements to operational efficiency and sustainability practices.
- Represent WWF in construction, renovation, and alteration projects affecting headquarters facilities.
- Manage office space planning, allocation, and workplace optimization initiatives.
Vendor and Contract Management
- Oversee third-party office services and facilities service providers.
- Monitor vendor performance against contractual agreements and key performance indicators (KPIs).
- Manage vendor relationships, contracts, invoicing, and service delivery.
- Address vendor performance issues and ensure quality standards are maintained.
Financial Management and Budget Oversight
- Support the preparation and management of facilities operating budgets.
- Review and approve expense coding and financial transactions.
- Monitor monthly budget performance and analyze budget-versus-actual reports.
- Provide budget updates and financial summaries to senior leadership.
Safety, Security, and Risk Management
- Support corporate safety and security initiatives.
- Coordinate emergency preparedness and disaster response procedures.
- Maintain emergency contact directories and critical response protocols.
- Support semi-annual fire drills and other workplace safety activities.
Communications and Employee Services
- Manage facilities-related communications to staff.
- Conduct new employee orientation sessions and facilities training programs.
- Maintain facilities content on the company intranet.
- Produce quarterly facilities newsletters and workplace updates.
- Oversee reception services and front-office operations.
Sustainability and Environmental Leadership
- Support WWF’s LEED Platinum certification renewals.
- Collaborate on sustainability initiatives and green building practices.
- Promote environmentally responsible facilities management strategies aligned with WWF’s mission.
Additional Duties
- Maintain and oversee WWF’s furniture and equipment inventory.
- Provide backup support for sustainable sourcing and business travel administration.
- Assist with parking operations and employee parking-related administration.
- Perform additional facilities and operational duties as required.
Required Qualifications
Education
- Bachelor’s degree or equivalent combination of education and professional experience.
Experience
- Minimum of eight (8) years of facilities administration or facilities management experience.
- Demonstrated experience managing facilities operations in a complex organizational environment.
- Experience with contract administration, vendor management, and procurement processes.
- Proven experience managing facilities budgets and financial reporting.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
- Experience using SharePoint and other workplace management systems.
- Ability to learn and utilize enterprise systems such as Workday and SmartSimple.
