Position Overview

The Senior Finance Associate provides comprehensive support across finance, accounting, treasury, administrative, and human resources functions. The role focuses on ensuring financial integrity, compliance with organizational policies, quality control of financial transactions, payroll administration, and support for operational effectiveness within the North America Regional Office.

Salary Range: USD 67,727 – USD 84,659 Gross per Annum

Key Responsibilities

Accounting and Financial Reporting

  • Review accounting transactions, including payment vouchers, receipt vouchers, debit and credit notes, expense claims, credit card claims, staff time charges, and journal entries before posting.
  • Ensure balance sheet accounts are reconciled in accordance with IUCN policies and procedures.
  • Assist in analyzing financial statements and project financial reports while recommending improvements in efficiency and cost-effectiveness.
  • Provide guidance and coaching to staff on financial transaction accuracy and compliance.
  • Ensure timely preparation and submission of financial reports to project managers, donors, regional offices, and headquarters.
  • Review invoicing processes and reconcile inter-company accounts regularly.
  • Support month-end and year-end financial closing activities.

Treasury and Cash Management

  • Prepare cash flow forecasts and monitor fund availability for office operations and hosted center units.
  • Review supporting documentation for all disbursements and ensure proper coding.
  • Process wire transfers and ACH payments to staff, vendors, partners, grantees, and donors.
  • Ensure timely banking of income received.
  • Reconcile bank accounts, cash balances, and credit card accounts in compliance with IUCN accounting standards.

Planning, Budgeting and Forecasting

  • Support planning and budgeting activities for office operations and projects.
  • Monitor exchange rate fluctuations and assist programme teams in updating project budgets accordingly.
  • Contribute to staffing cost analysis and budget forecasting activities.

Internal Controls and Compliance

  • Assist in evaluating and strengthening internal control systems.
  • Support compliance with financial policies, procedures, and organizational standards.
  • Help ensure the protection of organizational assets and accurate financial reporting.

Fixed Asset Management

  • Coordinate annual physical verification and inventory of fixed assets.
  • Ensure accurate depreciation calculations and asset protection measures.
  • Distribute asset schedules to budget holders for verification.
  • Prepare documentation for disposal of obsolete, lost, stolen, or damaged assets.

Payroll and Human Resources Support

  • Support semi-monthly payroll processing and retirement contribution administration.
  • Ensure compliance with FICA and payroll regulations.
  • Respond to employee payroll and benefits inquiries.
  • Support onboarding and employee system setup processes.
  • Maintain and update HRMS records relating to employee costs and benefits.
  • Assist with benefits administration, including enrolments, terminations, and COBRA-related processes.
  • Prepare and file IRS Forms 1099 and 1096.
  • Provide additional HR support as assigned.

Audit Coordination

  • Assist in preparing annual audit plans and audit documentation.
  • Coordinate with internal and external auditors.
  • Support preparation of draft financial statements and audit schedules.
  • Monitor and facilitate resolution of audit findings and recommendations.

Administrative and Project Support

  • Assist in preparing financial reports and funding requests.
  • Support maintenance of organizational registrations and compliance requirements.
  • Assist in managing vendor accounts and office service agreements.
  • Provide project finance support, including financial monitoring and reporting.
  • Maintain digital filing systems for finance and project records.
  • Perform other duties as assigned by the Senior Finance Manager.

Qualifications and Experience

Essential Requirements

  • Legal authorization to work in the United States without employer sponsorship now or in the future.
  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of three (3) years of experience in finance and payroll administration.
  • Strong knowledge of accounting principles and financial reporting standards.
  • Experience with payroll systems, HRMS platforms, and financial software such as ADP and Microsoft NAV.
  • Understanding of U.S. payroll regulations, FICA compliance, benefits administration, and 1099 reporting requirements.
  • Experience in bank reconciliations, accounts payable and receivable, and cash management.
  • Proficiency in Microsoft Excel and Microsoft Office applications.
  • Experience with credit card reconciliation and income verification procedures.

Desirable Qualifications

  • Experience in budget development and staffing cost analysis.
  • Previous experience working within international organizations, nonprofit institutions, or donor-funded projects.
  • Knowledge of project financial management and donor reporting requirements.

Salary and Benefits

The gross annual salary for this position ranges between USD 67,727 and USD 84,659, depending on qualifications and experience.
